SPECIFIC ELEMENTS AND ESSENTIAL FUNCTIONS*
- 1 Functions as Assistant to the Chief Executive Officer and
Associate Administrators to include the coordination of schedules
and arranging appointments as necessary.
- 2 Coordinates activities for the Board of Trustees to include
minutes, agendas and follow-up for JCAHO compliance; maintains all
Board records and coordinates annual meeting.
- 3 Responsible for setting up all Leadership meetings, informing
all parties of the time and place for meeting and taking minutes.
Attends other meetings to record minutes as requested.
- 4 Responsible for setting up all Senior Leadership meetings and
informing all parties of the time and place for meeting.
- 5 Opens and sorts mail and point out items of importance to the
CEO and Associate Administrator.
- 6 Acts as liaison with attorneys, vendors, physicians,
employees and patients and/or their families.
- 7 Prepares personnel action request forms and maintains
CONFIDENTIAL personnel files for corporate employees.
- 8 Orders office supplies and maintains equipment in the
- 9 Assists the Administrative Assistant in learning and
performing her duties and provides supervision as necessary.
- 10 Completes Physician payments and reimbursements
- 11 Primary responsibility for contract maintenance including by
not limited to contract assembly, vendor liaison and TractManager
online contract maintenance.
Required - 3 years of progressively responsible experience as
Secretary to CEO of an organization.
Preferred - 3 years of Executive Secretary experience in a
Required - Graduation from an accredited Executive
Secretarial/Business College with exposure to medical/legal
terminology and proficiency in WordPerfect, stenography and
